A QR label on every asset means the record is wherever the equipment is. Scan the sticker and the device's page opens: model and serial, location, status, warranty, service history, open tickets. More importantly, it can be corrected on the spot — the swap gets recorded during the swap, the status changes when the work happens, and the register stops depending on anyone's memory of what happened on site.

The annual audit is the traditional register-killer: days of cross-checking, and the results are stale before the report is written. - Durable stock. Racks are warm and venues get cleaned; use proper label stock, not the office printer's paper sheets.
